The HR Coordinator - Field is responsible for performing a variety of human resource administrative support duties including handling payroll processing, tracking and inputting vacation and other attendance data, assisting HR Manager with recruiting and DEI related activities, and performing general office support functions such as scheduling meetings, filing, answering phones, distributing mail, and assists area personnel as necessary.
This position will interact with all levels of facility personnel, visitors and customers. The impact of this position on the business is very important as they set the tone for positive interaction with our union members and ensuring that all individuals are treated in a professional and courteous manner. Though the majority of the work is highly administrative this individual must pay attention to details. This individual must exercise independent judgement and be capable of making sound decisions.
Responsibilities:
- Payroll/Attendance: Manages payroll records for hourly and non-exempt employees according to State and Federal regulations. Manages payroll records for exempt employees who are eligible for Premium Pay. Ensures that payroll functions are performed in accordance with established policies and procedures. Distribute hourly payroll checks. Communicates all hourly attendance occurrences. Track and maintain FMLA, vacation, sick, and personal time. Maintains and posts hourly employee’s attendance points and PTO accruals.
- Office Support/Special Projects: Activities will include but not be limited to interacting with and answering questions for union members, greeting visitors, answering phones, filing, creating excel sheets, ordering supplies, opening/sorting incoming mail, running monthly reports, assisting Operations MGR with paying invoices, assisting EH&S with signing manifests, scheduling meetings, coordinating with contractors, and collecting and maintaining documentation for both GATX employees and contractors. Assists HR MGR with various research and/or special projects.
- Employee Engagement: Spends time on the floor supporting hourly and salary team members. Assists HR MGR with planning and executing employee events and lunches. Manages the Employee of the Month program. Manages monthly newsletters and employee announcements on flyers and/or Yodeck monitors in the shop.
- Hiring/Onboarding: Assists HR MGR with posting job bids for internal postings for hourly applicants. Manages ATS (iCIMS) by creating recruiting requisitions and posting and removing jobs. Sends offer and rejection letters for hourly candidates in iCIMS. Conducts phone screens, schedules interviews and works with HR Manager and various hiring managers to ensure smooth onboarding process.
- Compliance: Manages Contractor Safety and Compliance Program. Coordinates and facilitates mandatory compliance trainings for hourly employees.
Qualifications:
- High School Diploma required, Associates' or Bachelor's degree preferred
- 2 years' experience in a Human Resources support role required / 3-5 strongly preferred
- Bilingual in English and Spanish is strongly preferred
- Very strong technical skills, including proficiency in MS Word, Excel and PowerPoint
- Excellent communication skills
- Strong attention to detail
- Positive attitude and ability to act under pressure
- Self-starter who shows initiative
- Organized and able to prioritize competing tasks
As of November 25, 2024, the salary range for this position is $53,400 to $69,000. This range for this position is a reasonable estimate and takes into account several factors that are considered in making compensation decisions including but not limited to geographic location, skill set, experience, education, training, internal equity and other business needs.
